HOW TO:  be the ILLINOIS SECTION HISTORIAN

1.         Introduction

 

1.1       Historian selection

 

The Section Chair will appoint the Section Historian.  A Section member that has demonstrated distinct interest in section events, awards, and membership activities should be selected.  The Chair may seek suggestions for historian candidates from Board members and long-tenured section members.  Some degree of continuity in this position is considered desirable providing that the serving person is meeting the Board's performance objectives.

 

1.2       Committee members

 

The historian may recruit committee members if assistance is desired.  A committee of 2 to 4 members should be adequate.  The historian should discuss possible committee member candidates with the Chair.

 

2.         Historian Tasks

 

2.1       AWWA Awards and Recognition

 

The historian shall maintain and annually update, as soon as possible after the AWWA Annual Conference/Exposition, the list of Illinois Section members and Illinois utilities that receive association awards and recognition.

 

2.2       Illinois Section AWWA Awards and Recognition

 

The historian shall maintain and annually update the list of Illinois Section members and Illinois utilities that receive Illinois Section awards and recognition.  The updating should be done immediately after the Section's annual meeting.  A listing for many of the awards and recognitions can be obtained from the Section Awards Committee.  Other awards and recognitions will be need to be noted and recorded by the historian.


2.3       Section History

 

The historian shall annually prepare a separate supplement to the section history describing significant events, awards, honors, changes, etc. that occur during the section year (end of annual meeting to end of next annual meeting).  The annual supplements should be distributed to the Officers and Board of Trustees for review to assure that all information contained is accurate and true.

 

Periodically (at least every 5 years), when judged appropriate by the historian or as directed by the Section Board, the historian shall incorporate information in the annual history supplements into a complete revision of the Section's history.  Review of the revised history by present long-tenured and past members of the Board is desirable.

 

2.4       Water Utility Histories

 

From time to time, the historian and/or his committee members should prepare a brief written history of the development of public water supply utility in Illinois to be published in the Section newsletter SPLASH.  Typically, a utility that has been honored for 100 years of continuous operation (100 Year Club) is a prime candidate to be selected. 

 

2.5       Archival of Records

 

Completed, updated lists of the awards and recognitions must be furnished to the Section Secretary-Treasurer and the Executive Manager for inclusion in section files.  The historian also should maintain a file of such lists to pass on to succeeding historians.  Maintaining the lists on computer diskette, as well as on paper, is desirable.

 

The lists of awards and recognitions may also be included in the Section's Standard Practice Manual and may be requested by the Chair of that committee.

2.6       Reports to the Membership

 

The historian shall prepare an annual report to the membership for inclusion in the annual committee reports assembled by the Executive Manager and distributed at the Section's annual meeting.  The annual report should summarize the historian's activities during the year.

 

3.         General

 

3.1       Committee Budget

 

The committee chair shall make a committee budget request for the next calendar year to the Chair Elect not later than July.  Non-revenue committee activities must be accomplished within the Section budget allocation if possible.  Excursions beyond the budget allocation must be approved by the Section Board of Trustees.
