Poster Competition Procedural Guidelines

1. Schedule:

a. Entry form submittal deadline – 30 days prior to WATERCON (mid-February)

b. Utility review deadline – within 1 week of application submission (for posters using data from water utilities)

c. Confirm poster entries and send info request to participants – within 2 weeks of application submission

d. Participants provide their information to Laurie (see below) – March 1

e. Poster judges confirmed – March 8

f. Poster Competition – posters on display from 9-11 am on the Tuesday of WATERCON, in the second floor hallway of the Crowne Plaza Hotel. Awards disbursed – April 1

2. Logistics:

a. At least three contiguous booth spaces should be reserved in the second floor hallway for poster presenters, and a banner hung over the middle booth space.

b. Chairs, easels, and foam core boards with binder clips to mount the posters are needed in the booth spaces. No tables are needed.

c. Participants will respond to a questionnaire included with the acceptance email to indicate who from their team will attend (determines the number of chairs needed in the booth), whether they need lodging and on which night, poster dimensions, and whether their poster is self-supporting or not (determines the number of foam core boards and easels needed).

d. Judging forms and clipboards will need to be provided for three judges.

e. Follow up with participants after the conference to get feedback on their experience and encourage them to become AWWA members if they are not already.

3. Judging:

a. The YP Committee will select three AWWA members annually to judge posters.

b. Judging will be from 11 am to 12 noon. The YP Committee will provide judging forms.

c. Judges may spend up to ten minutes reviewing each poster and asking questions of the presenter.

d. Each poster presenter will individually bring their poster to the west end of the second floor hallway (lounge area) for judging. Other poster presenters will remain in another part of the hallway until it is their turn to present.

e. After all presenters have been interviewed, judges will remain on the west end of the second floor hallway to discuss results and select the winners.

4. Awards:

a. If a winning poster was created by a group, only the group member(s) who presented the poster at WATERCON will be sponsored to attend the Association Conference (ACE). If they cannot attend ACE, the second place poster will be promoted to the first place poster and the presenter(s) sponsored to attend ACE.

b. Prize money for the second and third place winners ($250 each) will be disbursed directly to the winners.

5. Expense Reimbursement:

a. As described above, the winning poster presenter(s) will compete against winners from other Sections at ACE in June.

b. Winner(s) attending ACE must book travel and lodging in advance and request reimbursement using ISAWWA’s volunteer expense reimbursement form.

c. ISAWWA will reimburse costs for attending ACE up to $800 as outlined below. Laurie must approve airfare and lodging costs prior to booking by the poster presenter(s).

1) Direct airfare, if applicable

2) Lodging – two nights max

3) Meals – two days max

d. AWWA will register the poster presenter(s) for ACE – no reimbursement needed.

6. Promoting the Poster Competition:

a. Trustees will be contacted annually to discuss promoting the scholarship program at schools and certification programs in their district.

b. The Poster Competition will be advertised to the Section Membership through general membership emails and through YP distribution list emails.

c. Articles will be published in Splash each year after WATERCON announcing the winners and the prizes they received.
