Under the  supervision of the Executive Director, this position provides administrative support for the Illinois Section AWWA. Support services provided to staff members, association volunteers, the general membership and the all-volunteer Board of Directors. In addition to handling accounts payable and receivable, responsibilities will include maintaining the database of training records; providing logistical support for luncheons, meetings and conferences; procuring Association essential supplies; work with vendors to ensure upkeep of office equipment; provide regular updates to the Association website; manage registrations for events and training; work on special projects, such as the annual Association conference; other essential duties as identified by the Executive Director. 
Must have the ability to deal with a diverse group of members and customers. Must be able to work independently and plan, prioritize and organize multiple tasks on a daily basis. 
Essential Functions 
  • Provide support for scheduling and organizing meetings, travel arrangements, conferences, and training.
  • Sorts and distributes mail. Responds to phone, email and in person inquiries regarding association business.
  • Serves as membership marketing point of contact to potential members. Maintains membership information on current database.  Possess an understanding of how to motivate & reward volunteers.
  • Designs and implements general correspondence: memos , charts, tables, graphs, etc. Proofreads others’ copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.  Proficiency in MW Office, including Word, Excel, Powerpoint, ; with ability to learn Access, Adobe Creative Suite, Photoshop, Adobeconnect & HTML functions.
  • Responsible for finance functions:  Accounts Payable, Accounts Receivable (including collections), credit card reconciliation,  customer invoicing.  Proficiency required in Quickbooks software.
  • Provides support for Executive Director directly related to Annual Conference.  Handles set up and sales of Exhibitor booths, Attendees’ registrations, conference signage.  Proficiency in some type of graphic design needed (InDesign).  Must be able to learn handling of Roland printer.  Assists with conference speaker communications.  Manage equipment supply and computer upgrades.  Research & solicit conference sponsorships.
  • Updates association website on a regular basis. Prepares general emails to members and non members. 
Some overnight travel may be required, typically for the Annual Conference.  Must be willing to work overtime as required.

Casual work environment located in St Charles, IL.
